VoidPro is a tool for site managers and contractors to record, evidence and hand over void property refurbishment works. This policy explains what information VoidPro holds, why, where it is kept, and your rights. It is written for the UK GDPR and the Data Protection Act 2018.
Who is responsible
VoidPro is operated by Zsolt Szantai ("we", "us"), based in London, United Kingdom. We are the data controller for your account information. For the job records you create, your organisation decides what is recorded; we process that content on your behalf.

What we collect
- Account details — your email address and a password (stored only as a secure hash by our authentication provider), the date you signed up, and your subscription status and trial dates.
- Settings — your company name, your own name as it appears on documents, default client, and display preferences.
- Job records you create — property addresses, client housing association, scope lines and quantities, completion and handover dates, notes, key and fob counts, variation and compliance status. Void properties are unoccupied, but an address can still be personal data where it relates to an identifiable person.
- Rate books — schedule-of-rates codes, descriptions and rates you import.
- Photos and uploaded documents — before/after photographs and certificates (EICR, gas safety, asbestos, RAMS and similar). These are currently stored only on the device you use and are not uploaded to our servers. If this changes we will update this policy first.
We do not collect location data, contacts, or device identifiers, and we do not use analytics or advertising trackers.
Why we use it
- To provide the service: sign you in, keep your jobs in sync between your devices, and generate your evidence forms and schedules.
- To run your trial and subscription, and to contact you about your account (for example a password reset or renewal).
- To keep the service secure and to fix faults.
Our lawful basis is performance of our contract with you (the Terms of Service) and, for security and fault-fixing, our legitimate interest in running a reliable service.
Where it is kept
Account, settings, job and rate-book data are stored with our database and authentication provider, Supabase, in their West Europe (London) region. The app itself is delivered from Netlify's hosting network. Each account's data is separated at database level so one customer cannot read another's records. All traffic is encrypted in transit.
We do not sell your data or share it with anyone for marketing. The only third parties that handle it are the providers named above, acting on our instructions, and any party you yourself send a generated document to.
How long we keep it
For as long as your account is active. Jobs you archive or delete in the app are removed from our database. If you close your account we delete your account and job data within 30 days, unless we are required to keep something for legal reasons. Photos and documents on your device are yours to delete at any time.
Your rights
You can ask us to provide a copy of the personal data we hold about you, to correct it, to delete it, or to restrict how we use it, and you can object to processing based on legitimate interest. Email zsolti5861@me.com and we will respond within one month. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Children
VoidPro is a business tool and is not intended for anyone under 18.
Changes
If we change this policy in a way that affects you, we will show a notice in the app before the change takes effect.
